Summary
The Building Administration Lead oversees the day-to-day management and administrative operations of a building or facility. This role ensures that all building services, maintenance, needs are addressed efficiently while maintaining compliance with health, safety, and operational standards
Key Responsibilities
Building Operations Management:
-Supervise and coordinate the maintenance, cleaning, and security of the building.
-Ensure the facility is fully operational and meets regulatory and organizational standards.
-Monitor building systems (e.g., HVAC, elevators, electrical) and schedule preventive maintenance.
Coordination:
Serve as the primary point of contact for addressing inquiries and resolving issues.
Staff Supervision:
-Lead and supervise a team of maintenance, security, and administrative personnel.
-Conduct regular performance evaluations and provide training to enhance team efficiency.
-Develop and implement schedules to ensure adequate staffing coverage.
Financial Oversight:
-Assist in budget preparation for building operations and monitor expenditures.
-Review and approve invoices, service agreements, and procurement requests.
-Track expenses and identify cost-saving opportunities without compromising quality.
Vendor & Contract Management:
-Oversee third-party service providers, contractors, and suppliers.
-Ensure all vendor services are performed to agreed-upon standards and timelines.
-Negotiate and manage contracts to optimize costs and service quality.
Administrative Duties:
-Maintain accurate records of building operations, maintenance schedules.
-Prepare reports and updates for senior management on building performance and activities.
-Manage office supplies, correspondence, and administrative tasks for the building.
Compliance & Safety:
-Ensure adherence to health, safety, and environmental regulations.
-Conduct regular inspections to identify and address potential risks or hazards.
-Maintain records of inspections, certifications, and incident reports.
Qualifications & Soft Competencies:
-Bachelor’s degree in Facilities Management, Business Administration, or a related field.
-Certifications in property management or building operations (e.g., IFMA) are advantageous.
-5 years of experience in building administration, facilities management, or property management.
-Proven experience in managing teams and vendors effectively.
-Proficiency in facilities management software and tools.
-Strong understanding of building systems and maintenance procedures.
-Knowledge of local building codes, safety regulations, and compliance standards.
