ASIAPOWER OFFICE TIMING: 10.00 AM TO 5.00 PM (MON TO SAT)
Responsibilities
-Maintain Projects Department Correspondences log and related tasks to ensure ail communication to and from Contractor were controlled and no backlog on correspondence to Contractor.
-Assist to find and provide Technical documents, Books/ Standards and Closed Out of projects in B7 Archive and file back those when they returned.
-Fully support to organize and maintain the B7 Archive for the whole documents for traceability.
-Find drawings or documents using Company's Computer systems and QTDMS, as and when required.
-Inform Technical Document Coordinator if found the document or drawing not uploaded to QTDMS yet for further uploading.
-To regularize the missing drawings in QTDMS.
-Use SharePoint, Documentum and other systems for Document Management workflow for everyday operations/ maintenance and quality control
-Control and monitoring the scanning process of document to be uploaded into QTDMS.
-Uploading and linking the documents to Unit No in QTDMS and ERP in assisting
-Technical Document Coordinator & Company Contract Coordinator when required.
-Support to print the drawings used ROWE or HP plotter as requested by Client end-user.
-To assist preparation of project folders for Task Force leaders or Project Coordinator.
-To assist Document Controller in projects files circulation for signatures and Close Out.
-To carry out and assist for regular administrative office works such as issuance of all types of gate pass/ as instructed by Company Contract Coordinator the Company in charge.
-Assist the Projects Department and Maintenance Planning Section to perform administrative and other extra works requested by Projects Department/ Maintenance Planning Section and Company Contract Coordinator.
-Maintain confidentiality around sensitive documentation.
-Collect stationary items from the stores and transport library books and periodicals time to time to storage areas.
-Maintain Housekeeping,
Qualification:
-Should have a Graduate or equivalent and shall be physically strong, dynamic and enthusiastic.
-Knowledge of English (speaking & writing) is a must.
-Minimum 5 years direct and relevant experience as Technical Documentation Assistant in a document control function/ preferably working within an Oil & Gas or Petrochemical industry.
-Must be well versed in computer, MS Office application including Ms. Outlook, Ms. Excel/Ms. Word and Ms. Access, Cimage, Acrobat Professional etc.
-Experience in operating scanners & plotter and good speed in typing.
-Good attention to detail and capable for multitask.
-Excellent communication skills
